Fields tell Skillsive what to print where on the PDF: the trainee's name, the certificate number, dates, the instructor's signature and stamp, the trainee's signature and the QR code that proves the certificate is genuine. You place them once per template.
Available to organization Admins.
Place fields in the visual editor
Use the visual editor when your PDF is a plain background without form fields.
- 1Upload the PDF in the template form. Under Template file, click Place fields visually (or Edit placed fields if the template already has some).
- 2In the Place certificate fields window, click Add field.
- 3Drag the field to the right place on the page and resize it.
- 4Under Bind to data, choose what the field shows, for example Recipient name or Certificate number. Type in Search fields… to find it faster.
- 5Set the Font size (pt) and the alignment (Left, Center, Right).
- 6Repeat for every field. For a multi-page PDF, switch the page first.
- 7Click Save fields, then save the template.
A field without data is marked Unbound and stays empty on the certificate.
Most used data
- Recipient name or Trainee full name,
- Certificate title and Certificate number,
- Issue date, Training completion date and Expiry date (short or long format),
- Instructor full name, Instructor signature image and Stamp image,
- Recipient signature image — the trainee's signature,
- Organization name.
The verification QR code
Every certificate gets a Verification QR. It opens a public page that shows whether the certificate is valid. The editor adds the QR code for you — you can move it and change its size, but you cannot remove it.
Keep the QR code large enough to scan from a printout and do not cover it with other fields.
Trainee signature field
If you bind a field to Recipient signature image, every certificate from this template waits for the trainee's signature and is digitally signed only after they sign. Without that field, the certificate is signed as soon as its PDF is created: right after issuing one certificate, or after Download PDF pack in bulk issuing. See How trainee signature works.
Map PDF form fields
If your PDF already has form fields, Skillsive detects them after upload. For an existing template, click Analyze field mapping.
- 1In the list of PDF fields, choose a data source for each field under Select data source.
- 2Check the counter, for example "5 of 6 fields mapped".
- 3Save the template.
FAQ
The name does not fit in the field. What can I do?
Make the field wider or reduce the font size. Long names are more common than you think — test with the longest name in your organization.
How do I check the result?
Issue one certificate, for example for a colleague, and download it from the registry. Keep in mind that it takes a real number in the registry. If you do not need it afterwards, void it.
Do I need the instructor signature field?
Only if the certificate should show the instructor's signature, stamp or details. The data comes from the instructor signature chosen in the assignment.
