The Device list shows every VR headset in your organization: where it is, whether it is online and whether it uses a seat in your subscription. From here you free a seat, take an old headset out of use and check how often a headset is actually used.
Who can use it
Available to organization Admins only — everything on this page, including the device details. The Device Admin permission does not open these pages on its own; it only adds pairing new headsets.
Check the seats and the numbers at the top
- 1In the side menu open Devices → Device list.
- 2Below the Sign in by code panel you see four tiles:
- Subscription seats in use — seats taken / seats in your subscription, for example
7/10. - Headsets online — headsets that have the app open right now.
- Used in the last 30 days — headsets that were active in that time.
- Idle for over 30 days — headsets nobody has used for a month. Good candidates to free a seat.

A headset takes a seat automatically when you pair it with a code. When all seats are taken, pairing a new headset stops with the message "The subscription device limit has been reached." Free a seat first (see below) or contact us to extend the subscription.
Read the table
Each row is one headset:
- Device — the name and the serial number. Click the name to open the device details.
- Country — where the headset is used.
- # — the colour and number you gave the headset, so you can match it to a sticker on the hardware.
- Status — Online, Offline or Not reporting. Not reporting with Update required means the VR app on this headset is too old to report its status — update it on the headset.
- Generation method — Browser Auth means the headset was added by code login. The date below is when the device was created. Obsolete marks a device added by an older method; such a device cannot be assigned to the subscription — pair the headset again to create a new record.
- Active in subscription — Active when the headset uses a seat, Inactive when it does not.
Find a headset with the filters
- 1Type a name or serial number in the search field.
- 2Narrow the list with Method, Subscription (All, Active, Inactive) and Status (All, Online, Offline, Not reporting).
- 3Every active filter shows as a chip below. Click the cross on a chip to remove it, or Clear filters to remove all.
A headset is missing from the list?
By default the list shows only headsets added by code login (Method: Browser Auth) that are Active in the subscription. Set Subscription to All to also see headsets without a seat, and Method to All to see older records.
Assign or unassign a headset
- 1At the end of the headset's row, click the three dots.
- 2Choose Assign device to subscription to give the headset a seat, or Unassign device from subscription to free its seat.
Unassigning signs the headset out
When you unassign a headset, it loses its sign-in to your organization. To use it again, pair it with a code — pairing gives it a seat again if one is free.
The same three dots also hold Discard and exit and Finish and save score for headsets that are online. From this menu they are sent immediately, without a confirmation window — check the row before you click. They are described in Remote control of VR headsets.
Remove a headset you no longer use
- 1Click the three dots in the headset's row and choose Remove device.
- 2Read the confirmation. Removing cannot be undone: the device and its statistics disappear from the panel. Trainee results already saved stay in the completions.
- 3Click Remove device only if you are sure. Otherwise close the window.
If you only want to free a seat and may use the headset again later, unassign it instead of removing it.
Export the list
- 1Set the filters you need.
- 2Click Export, choose CSV or Excel, and click Export in the window.
The file contains all rows that match the filters, not only the visible page.
See how much a headset is used
- 1Click the headset's name in the list.
- 2Open the Statistics tab.
- 3Choose the period: 30 d, 90 d or 365 d.
You see on how many days the headset was used, Course launches, Completion rate, Trainees, Average score, Time in VR, a chart of daily activity and the Most used courses.
FAQ
Why does the seats tile show 7/10 when I have 8 headsets?
One headset has no seat. Set Subscription to All — it is the one marked Inactive.
What happens to results when I remove a device?
The device and its statistics disappear from the panel, and it frees its seat. Trainee results already saved stay in the completions. If you may need the headset later, unassign it from the subscription instead.
A headset shows "Not reporting". Is it broken?
No. The VR app on it is too old to report whether it is online. Training still works; only the status and remote control do not. Update the app on the headset.
Can someone without the Admin role see this page?
No. Only organization Admins open the device list. An Analyst sees only the dashboard.
