A training is a course (or a custom course) with a delivery window: from when to when people should complete it. You assign it to trainee groups or to individual people, and the schedule shows who has finished, who is behind and whose certificate is still missing. It is a good fit for periodic training — for example, the same fire safety course every year.
Available to organization Admins.
Open the schedule
- 1Open Trainings → Training schedule.
- 2At the top you see how many trainings are In progress, Overdue and Scheduled, and how many certificates are waiting to be issued.
- 3Use the search box or the status chips (All, Overdue, In progress, Scheduled, Completed) to narrow the list.
Each row shows the delivery window, how many days are left (or how long it has been overdue), how many people completed it and how many certificates are still to issue.
Training statuses

Create a training
- 1Click New training.
- 2Under Course or custom course, pick what people should complete. The list contains the courses in your subscription and your organization's custom courses.
- 3Choose the Month and Year. The period goes into the training name and sets the deadline to the whole month.
- 4If needed, change the dates in Starts and Due.
- 5Under Assign trainee groups, tick one or more groups. Under Or add individual people, add people who are not in any of those groups.
- 6Check the summary at the bottom (groups, people added individually, participants in total) and click Create training.
A course completed before the start date does not count
Only completions started on or after the Starts date count towards the training. A person who completes it after the Due date still counts as completed — the training just shows as overdue until then.
Follow a training
Click a training in the list to open it. At the top you find the course, the period, the status and two buttons: Duplicate for next period and Issue certificates — when certificates are waiting, the button shows how many, for example Issue 2 certificates.
The page has three tabs:
- Overview — participants, how many completed, how many are overdue and certificates, with completion shown for each assigned group.
- Participants — everyone who should complete the training, with progress, score, status and certificate.
- Assignments — the groups and people assigned to the training.
Send reminders and export participants
- 1Open the Participants tab.
- 2Use the filters — Everyone, Not completed, Overdue, Awaiting certificate, Completed — or the search box.
- 3Tick people and click Send a reminder to e-mail them, or Issue certificates to issue certificates for those who completed the training.
- 4Click Export to download the participant list as CSV or Excel, for example for an audit or a report to your manager.
Who gets a reminder
Reminders go by e-mail only to people who have not completed the training. People without an e-mail address are skipped, and nothing is sent for a training that has not started yet.
Assign a group or a person later
- 1Open the Assignments tab.
- 2Click Assign a group to add a whole group, or Assign a person to add individual people. People assigned individually do not have to belong to any group.
- 3To take someone off the training, use the unlink icon next to the group or person (its tooltip says Detach group or Detach person).
Each person is counted once, even if they are in two assigned groups.
Repeat the training in the next period
Click Duplicate for next period on the training page. The form opens with the same course and the same groups and people, set to the next month. Check the dates and click Create training. The original training stays unchanged.
Issue certificates
Click Issue certificates on the training page. Choose the certificate template and the issue date, check the list of recipients and confirm. After issuing you can download all certificates at once with Download PDF pack. If the window says there is no template for this course, first link one in Certificate assignment.
FAQ
Can I change the deadline after creating the training?
Yes. On a group's Trainings tab click Edit deadline next to the training. The new dates apply to every group and person assigned to that training. A training assigned only to individual people has no place in the panel to change the deadline — create a new training with the right dates instead.
Someone joined the group after the training started. Do I need to add them?
No. Members of an assigned group are participants automatically, including people added to the group later.
Why does a person who completed the course still show as not completed?
They probably completed it before the training's Starts date. Only completions started on or after the Starts date count; there is no upper limit.
Can I use a custom course in the schedule?
Yes. Custom courses appear in the Course or custom course list in a separate section.
