Roles decide what a person sees in the panel. Give each member only the roles they need for their work — you can change them at any time on the Members page.
Who can do this
Available to organization Admins. Open Organization settings → Members.
What each role can do
| Role | What the person gets in practice |
|---|---|
| Admin | Everything in the organization: trainees, trainings, certificates, devices and organization settings. Only an Admin sees trainees' personal data and can manage members. |
| Analyst | The Dashboard with training activity and statistics. An Analyst does not open the organization pages such as the trainee list. |
| Device Admin | The permission needed to pair VR headsets. An Admin who wants to pair headsets needs this role too — tick it on your own account. |
| Finance | No separate screens in the panel yet. A person with only this role sees the start page with help links and their own account. |
| User | Basic access: the start page with help links and their own account. |
A person can have several roles at once — for example Admin and Device Admin for someone who runs the trainings and prepares the headsets.
Find a member
- 1Open Organization settings → Members.
- 2Scroll down to the list of members. Each row shows the Roles in organization, the Status and whether the person uses Two-factor authentication.
- 3Type a name or an email address in the search field to narrow the list.
- 4To keep a copy of the list, click Export and choose CSV or Excel. The file includes every member that matches the search, not only the visible page.
Change a member's roles
- 1In the member's row, point at the row and click the ⋮ button at its end. The button appears only when you hover over the row; on a narrow screen scroll the table to the right.
- 2Click Manage roles.
- 3Tick the roles the person should have and untick the ones they no longer need.
- 4Click Save changes. The change applies immediately.
You cannot take away your own Admin role
The panel does not let you remove the Admin role from your own account, so the organization is never left without an administrator. Ask another Admin to do it if needed.
Suspend a member
Suspend someone when they should not use the organization for a while — long-term leave, a change of job, an investigation. Nothing is deleted.
- 1In the member's row, open the menu and click Suspend in organization.
- 2Read what the suspension does. Optionally add a reason — only administrators see it.
- 3Click Suspend.
What a suspension means:
- The person loses access to this organization's panel right away. They can still log in, manage their profile and work in their other organizations.
- Their roles, history and certificates are kept.
- Headsets they paired and API keys they created keep working.
- No email is sent — the person sees the information after logging in.
The row then shows the Suspended status, the date and who suspended the person. To bring them back, open the same menu and click Restore access — the roles they had come back.
Removing a member
Remove from organization is visible in the menu but not available yet. Until it is, use Suspend in organization to cut off access.
FAQ
Can I deactivate someone's whole Skillsive account?
No. As an organization Admin you control access to your organization — through roles and suspension. The account itself belongs to the person and may be used in other organizations.
Why can't I pair a headset although I am an Admin?
Pairing needs the Device Admin role. Open Manage roles on your own row, tick Device Admin and save.
What does a suspended person see?
After logging in, they see a message that their access to your organization is suspended and that they should contact its administrator. They can still open their profile and switch to their other organizations.
Where do I invite new members?
On the same page, under Send organization invitation. See Invite people to your organization.
