A trainee is a person who takes part in training and can appear in results, reports, and certificates. They do not need an administrator account in the panel.

Add the trainee
- 1Open Organization → Trainees.
- 2Expand Add trainee.
- 3Enter the nickname — the trainee's basic identifier.
- 4Select the trainee language and country.
- 5Optionally fill in employee ID and position.
- 6If the organization accepted the data processing agreement, fill in identifying data such as first name, last name, email, and phone.
- 7Click Add trainee.
Nickname
Nickname is required. It is the basic trainee name visible in the system and can be used when the organization does not enter full personal data.
Identifying data
First name, last name, email, phone, sex, and address are available after accepting the data processing agreement. These fields help with reports, personalization, and certificate issuing.
Accept the data processing agreement first
If the form does not show first name, last name, or email fields, the organization probably has not accepted the data processing agreement yet. See Trainee data processing agreement.
Language and country
Language controls the default language used for the trainee. Country helps organize participants when the organization works across several locations.
Trainee activity
An inactive trainee should not be used in current training. Deactivate a trainee when the person no longer participates but you want to keep history.
CSV import
For many trainees, use CSV import. The safest approach is to export the trainee list first and use the exported file as the column template.
