The calculator uses a bottom-up model. It adds separately entered costs instead of assuming one universal relationship between insured, direct and indirect losses.
For the United States, OSHA Safety Pays is useful awareness context. Its NCCI-based estimates are not imported because they cannot replace your organisation's records.
- Absence = workdays × working hours per day × full hourly labour cost.
- Response = other people involved × response hours per person × full hourly labour cost.
- Downtime = downtime days × your cost per day.
- Replacement, damage, claims and other recorded costs are added exactly once as entered.
- Additional indirect costs = known costs × your percentage. Nothing is added when the percentage is zero.
Each monetary component is rounded to cents or pence before totals are added.

What should be included in the cost of a workplace accident?
Start with costs your organisation can trace: paid absence, time spent by managers and safety staff, interrupted production, replacement cover, damaged equipment, cleanup, claims and professional advice. Keep categories separate and use internal evidence such as payroll data, incident logs, invoices and production reports. This makes the estimate explainable and reduces double counting.
How should indirect costs be estimated?
Do not start with a universal multiplier. Indirect costs differ by industry, incident severity, insurance arrangements and accounting practice. Enter known items in their dedicated fields first. If your organisation has a defensible internal percentage for additional disruption, apply it explicitly; otherwise leave it at zero and treat the known-cost total as the conservative result.
Why does the calculator ask for a region?
The region changes the official guidance and legal or insurance context shown beside the model. It does not change any formula, apply a fine or estimate a statutory benefit. Poland, Germany, the United States and the United Kingdom use different systems and terminology, so the calculator keeps context separate from arithmetic and lets you choose any supported currency.
Does switching currency convert the entered amounts?
No. PLN, EUR, USD and GBP are display and accounting units, not an exchange-rate service. When you switch currency, every number remains unchanged and only the symbol and locale formatting change. Convert source figures yourself using one documented rate and date before entering them if your records contain more than one currency.
How can the result support a prevention decision?
Compare the estimated event cost with your annual prevention budget to show scale in a form decision-makers understand. The ratio does not prove that a specific training, control or VR programme would have prevented the event. Use it to frame a discussion, then assess hazards, control effectiveness, implementation cost and evidence for the proposed intervention.
