There are two ways to bring a person into your organization: send them an email invitation, or approve a request from someone who asked to join. Both let you choose the roles the new member gets.
Who can do this
Only an administrator of the organization can invite members, approve requests and assign roles. You manage everything from Organization → Accounts.
Option 1 — Send an email invitation
Use this when you know the person's email and want to add them yourself.
- 1Open Organization → Accounts and expand Send organization invitation.
- 2Enter the person's email address.
- 3Optionally tick the roles to assign right away (you can change them later).
- 4Click Send invitation. The person receives an email with a registration link — their email is locked to the invitation, so they join exactly the organization you chose.
You can track everything you've sent under Pending invitations on the same page, where each invitation shows when it was last sent and when it expires. From there you can Resend or Revoke an invitation that hasn't been accepted yet.
Option 2 — Approve a join request
Use this when someone has already asked to join using your email (the self-service Join an existing organization form).
- 1Open Organization → Accounts. Pending requests appear under Requests to join this organization.
- 2For a request, select the roles for the new member (at least one is required).
- 3Click Approve to add them, or Decline to reject the request.
If you administer more than one organization
When you're an admin of several organizations, the self-service form can't tell which one a person means from your email alone — they'll be asked to have you invite them instead. In that case use Option 1 above and send the invitation directly, so the right organization is selected for them.
Roles you can assign
- Administrator — full organization management. Only administrators can access the personal data of trainees and members.
- User — basic platform access.
- Analyst — access to reports and statistics.
- Finance — access to financial data and billing.
- Device Admin — manage VR devices in the organization.
You can adjust a member's roles at any time from the accounts list via Manage roles.
Members vs. trainees
Inviting a member (an account with roles, above) is different from adding a trainee who only takes VR trainings. Trainees are added under Organization → Trainees, individually or via CSV import, and don't need an invitation or roles.
